Our booking terms & conditions

1. Booking & Payment

​

A non-refundable booking payment of £250.00 is required to secure the booking. The remaining balance is due before the wedding date, with a payment reminder sent at the start of the wedding week. Filming will not commence until the full balance has been received.

 

Payments must be made via online transfer. Account details will be sent via email.

 

By making a booking payment, you confirm your agreement to these terms and instruct Piece of Time Media to reserve your wedding date.

 

2. Cancellation & Postponement

​

If the wedding is cancelled or postponed, the following charges apply based on the notice period:

• Less than 1 month before the wedding: Full remaining balance due.

• 1-4 months before: 75% of the remaining balance due.

• 4-6 months before: 50% of the remaining balance due.

 

Notice of cancellation or postponement must be sent and confirmed via email to the same email address as previous communications.

 

We strongly recommend taking out wedding insurance to cover unforeseen cancellations or postponements.

 

If multiple clients request the same wedding date, priority will be given to the first client who pays the booking payment.

 

3. Videography Coverage

​

Piece of Time Media will be the exclusive professional videographer. Friends and family may film as long as they do not interfere with our professional coverage.

 

The client is responsible for securing access to all areas required for filming. Piece of Time Media is not liable for missed coverage due to access restrictions.

 

4. Creative Approach & Editing

​

Creative aspects, including filming and editing style, are at the sole discretion of Piece of Time Media. The final product will align with our established style, as seen in our portfolio.

 

Client Revisions

• Minor reasonable changes (e.g., removal of a shot, person, or music change) can be requested within 14 days of delivery. We will accommodate these where possible.

• Requests beyond this period may incur additional post-production fees.

 

Music Selection

• We request music preferences at booking to understand your taste.

• The full edit will include music suited to the tone of the day and your preferences.

• The highlights film requires copyright-cleared music. We will select suitable licensed music while retaining creative control.

 

5. Delivery & Storage

​

• We aim to deliver the final film as soon as possible, but this may take up to 12 weeks.

• Your wedding film will be provided via an online gallery and USB.

• The online gallery will remain available for at least 12 months—we strongly advise downloading your files.

• The USB is guaranteed for 12 months from delivery.

 

6. Liability & Unforeseen Circumstances

Piece of Time Media is not liable for issues beyond our control, including but not limited to:

• Adverse weather

• Accidents or road closures

• Venue restrictions

• Poor acoustics or lighting

• Guest interference

• Technical malfunctions

• Transport delays (e.g., ferry cancellations)

 

We reserve the right to terminate this contract for any reasonable cause, such as illness or accident. In such cases, all payments will be refunded in full.

 

Any liability is limited to the total amount paid to Piece of Time Media.

 

7. Approval & Final Product

​

Once the online gallery link has been sent, clients must report any technical issues or concerns within 14 days. After this period, the product is considered accepted and approved.

 

8. Copyright & Use of Footage

​

• Piece of Time Media retains copyright over all footage. Duplication or unauthorised distribution is prohibited.

• We may share moments from the highlights film (or the film itself) on social media to promote our work. This is a vital part of our business.

                                                                                     COVERAGE

​

'Full Feature' 

​

The Full Feature package covers from guests arrival, ceremony, photo call, speeches and first 3 dances with a highlights edit. Coverage will end at the conclusion of the third dance. If events run in a different order in which this is not the final event or the first dance is at 9pm or later, additional coverage will need to be purchased if wanted.

If you are planning a surprise performance eg: signing waiters, suprise DJ's or other such acts during your meal or at other points in the day and wish these events to be captured, additional costs may apply to cover additional filming time, data storage and post production time. Please make us aware of these before the event.

Bridal Preparations

​

Bridal preparations consists of an approximate one hour visit at a single location on the morning of the booked wedding date, pre ceremony. If preparations are taking place at a separate location to the wedding ceremony, an additional operator may need to be purchased by the client should you wish for someone to stay with you until you leave the location. We need to be at the ceremony venue no later than 60 minutes before the ceremony start time.

Extended Evening coverage

​

Filming will be extended to be on site for one hour from the point of the first dance, and be on site no later than 10pm.

​

Guest Messages

​

We will set up the guest messages service between the end of the meal and conclude approximately 10 minutes before the first dance commences. It is strongly advised for the client to make friends, family and the bridal party aware that this is taking place on the night. We will endeavour to get s many contributions as possible but cannot guarantee participation by your wedding party if they are so inclined.

Drone Coverage

​

Drone coverage is weather dependant and at the discretion of the operator on the day. If the conditions are deemed unsuitable or unsafe ie: strong gusts or persistent wind or rain then it may not be possible to fly. If you have selected a dedicated drone operator to be on site during the day, we will asses the forecast in the lead up to the wedding. If the short term forecast is looking favourable then coverage will continue as planned. If it is looking strongly unfavourable you will have the option to a) cancel the drone operator at no cost. b) Delay the coverage at a reduced cost (location dependant) to capture establishing location/venue shots at another time. Or c) proceed with the operator on understanding that coverage may not be possible on the day.
